Where is your office? Anywhere

According to research done by commercial property managers and corporate real estate executives, North American offices averaged 151 square feet per worker in 2017. That’s down from 176 square feet in 2012 and 225 square feet in 2010. The rule of thumb for creative open space that startup and small technology companies seek has been decreasing from 200 to 250 square feet to as low as 100 to 150 square feet of “usable” office space per person. Virtual offices, co-working spaces and modern work space solutions are providing flexibility and lower occupancy costs to most companies. Especially for small businesses, the flexibility that companies such as Wework or Regus provide are very important. You can grow your space if you need to or downsize as needed with no long term commitments. As we have discussed more and more companies are allowing employees to work remotely, from home, several days a week so the office needs go down to having a business address to receive courier deliveries and packages, some mail and have a conference room available for in person meetings. Having a receptionist to greet clients coming to a meeting or route calls if needed to cell phones or external numbers or extensions may complement the virtual office service. Having just an office suite in on these locations where you can keep the physical assets your business requires, have a receptionist to receive packages or courier service and mail on your behalf and have access to meeting rooms and lounges is all a small business needs now a days. All employees can work from home or anywhere in the world. Conference calls and video conferencing, email and other electronic messaging services along with good smartphones, laptops and tablets is all employees need to operate in most cases. Even call answering services are declining in use since most people operate via a direct line that rings on their cell phone. When social interaction is needed because of the type of work, business or personal preference of employees, one can work from home some days and use a co-working environment on one of these centers other days of the week, avoiding the isolation working from home can bring sometimes. Not only that but the synergy that is created by interacting with other professionals can bring new business or ideas that can end in major developments and projects for the business.

Another beauty of these work space solutions is that membership in these organizations allows you to use/rent  office space, lounges or meeting rooms basically in almost any major City in the World and most Cities in the United States. 

A flexible low cost solution that offers offices almost anywhere in the world with services tailored to any specific need and the ability to have one physical location and business address or virtual office address as the business may require is the perfect solution for a small business and now being used for enterprises and large businesses as well, especially when opening a presence in a new City.

This is another important plan for the Mobile Business. In our company we use Fedex as a courier service and we rent office space through Regus. When the receptionist at my office location received a courier package I can direct her to send to Fedex to any Fedex location worldwide. In the United States we use the Fedex Kinkos office centers in the City where we are traveling or passing by and pick up the package at our convenience. Of course our emphasis  is a paperless office so couriers and hard copies of documents are send by courier only in especial occasions but even then there is a solution to get the document anywhere in the world. Alternatively is confidentiality is not an issue somebody at the office or even the receptionist can scan and email the document instead of rerouting or re-sending. 


Take the Office with You

The first step in planning a mobile working strategy is to organize files and data. It is not feasible to work mobile if your file cabinet is a metal parapet in an office. Mobile working forces you to go digital. Digitization is the future of the office. It saves trees and also precious time and allow us to work remotely as if we were at our desk. A digital transformation is a needed but complex process and involves many different issues so we are going to start talking about the basic digitization of a small business or sole proprietor on this blog. In going digital in your small business you need to take the first following steps:

- Use electronic documents. Create a paperless office environment. 
- Institute a policy of receiving only electronic invoices from vendors and suppliers and eliminate paper billing. In my business we have a dedicated email address for accounts payable which is invoices@XYZ.com where we receive all invoices for processing
- Create a cloud based filing system with local server back up storage safeguarded at your office physical location
- Execute all documents with electronic signatures utilizing a proven service or the many available. I personally use Docusing, a great service. 
- Institute a policy of electronic payments for accounts payable and accounts receivables. We make all payments to vendors and suppliers online or by ACH and receive all payments from clients electronically
- Set up direct deposit payroll services. All payroll processing services offer this at a marginal cost.
- Invest in the right software and systems for operations and accounting, enterprise systems and online documents and team collaboration processes.
- Embrace a cloud computing strategy for your business. Use the power of software and hardware once available only to large enterprises and Universities and now available to small business and individuals at a minimum cost

We operate with the Google platform for filing, collaboration and shared documents and have a back up private cloud. We use Quickbooks Online  and Online banking for all accounting, banking and financial processes. Enterprises, large businesses and sophisticated companies will require more robust platforms and ecosystems in many cases but for individuals and small business our approach to a digital business transformation is easy and cost effective  

Going digital to a paperless office is essential in the strategy to The Mobile Business, achieving the freedom we all desire.

The Freedom of "Mobile Working"

With advancements in technology it is easier to be connected to one's business from anywhere in the world. I remember the days where we used PC anywhere to connect via the internet to our office central computer. Today with tablets, smartphones and laptops we can be connected to our business 24/7 all year round. I called it Mobile Working and it means you can have more vacations than ever before, more work and play days, whether you travel or spend part of the day fishing while connected to your business. No question this is a great improvement in quality of life and therefore our health, happiness and the way we enjoy our journey on earth. Less time trapped in traffic, less commuting time and loss productivity, more time for family, friends, sports, and any activities we enjoy, not to mention savings in gas, tolls, car or public transportation.

The question is how do I get to be part of this trend? well for self employed folks and business owners it is easier to set own hours and properly plan where to live, how much time to spend at the second or vacation home, balancing work and leisure. If you have one of those dying 9 to 5 jobs, do not worry. First, employers are analyzing productivity more than ever. Management by Objectives is becoming more and more relevant. The man-hours wasted in traffic and commuting to and from the office can be translated into productive working hours or personal time that will translate into a more productive employee at the end. Since technology allows now to work remotely, more businesses are allowing employees to work from home 2 to 5 days a week, having conference calls or video conferences and of course some face to face meetings when necessary. This frees up time to go to the Gym or your son's soccer game or daughter's play, spend more time with your spouse and enjoy activities that enhance your body and spirit. If your job is still an old 9 to 5 inflexible schedule then talk to your boss and propose a test of working remotely for a period of time and then evaluate results. You will be amazed how receptive employers are when they can see positive results. 

If you are one of the lucky ones like me, that owns a business or you are an independent contractor or self-employed person, you just need decision and planning. Of course some trades do not allow for this kind of freedom. A plumber, a Doctor, Dentist or an electrician cannot work from home or from the beach house and may be confined to a job schedule but technology may allow them to plan longer vacations in most cases. For the rest of us that can, one way or another, be absent from a physical location, we need first decide we want to become "nomads" as far as working is concerned.  Proper planning, setting up the right infrastructure, methods and procedures and having the right technology are crucial to be able to achieve this freedom without hurting the business. I created this blog to discuss these important issues and ideas so we can be remotely enjoying life going where we want to go and doing what we want to do while working and taking care of our business. In this blog I will show you what I learned in my journey to being 100% mobile, how I continue to achieve more in my business than ever before at the same time I have more time for me and my family that I could ever imagined.
